• 2025 Airdrie Regional Home and Lifestyle Show - Exhibitor Code of Conduct & Agreement

    You are required to read and accept the following Exhibitor Code of Conduct & Agreement by no later than March 14, 2025.

    By accepting the Exhibitor Code of Conduct and Agreement you are agreeing to the Terms & Conditions set forth by the Airdrie Regional Chamber of Commerce.

    We suggest you print a completed copy for your records and share with your booth representative(s).
    1. Show management shall make available to the Exhibitor for the period of the Show the space paid for, including drapery, one table and four name badges (chairs are not included - except the Hallway Tables). One 600-watt duplex outlet IF requested on the Exhibitor Application form.
    2. Exhibitor agrees to use space only for the purpose and for those products/services as listed at time of registration.
    3. Exhibitors may not assign, sublet or apportion any part of the space contracted for/by them, and may not advertise or display goods or services other than those manufactured, distributed, or sold by them in the regular course of their business. No third-party promotion will be permitted. Space contracted for/by an exhibitor is for the sole use of that exhibitor.
    4. All exhibit structures (i.e. carpets, signs), activities (i.e. staff, mascots) and materials (i.e. brochures) must be confined within the limits of the assigned booth space.
    5. Distribution of materials outside the booth is expressly forbidden. Aisle space may not be used for exhibit purposes or for solicitation of business.
    6. Exhibitors wishing to cancel their booth must do so in writing no later than January 31, 2025. A $150.00 administrative fee will be charged for all cancellations made on or before January 31, 2025. There will be no refunds for cancellations made after midnight on January 31, 2025
    Unless government restrictions on tradeshows are in place at the time of the Show. If the Show is cancelled due to government restrictions on tradeshows, the Airdrie Regional Chamber of Commerce will refund your exhibitor payment minus a $50 administrative fee for booths and $25 for hallway tables. If due to circumstances beyond the control of Management and the show should be cancelled, the Exhibitor shall waive any claims for damages or compensation.
    7. Booths have an 8’ high back wall and 3’ high side walls. Hallway tables have an 8’ high back wall. If a sign or display is higher than 3’, such higher display can only extend four feet outwards from the back along the side rails. Exhibitors desiring to use a booth with non-standard height (including sidewalls) must receive written approval from Management in advance of the Show. Submit your proposed structural changes to cheryl@airdriechamber.ab.ca before March 14, 2025.
    8. IMPORTANT NOTICE: Due to venue restrictions, exhibits more than 8ft high and 9ft wide are not guaranteed access into the Genesis Place Field House(s). Please consider transporting your exhibit in pieces to be assembled inside your booth. Exhibitors are advised to measure their exhibit in advance.
    9. Carpentry inside the venue during set-up is not permitted. All exhibits must be finished on both sides so that raw or unfinished sides are not left exposed to the neighboring booth
    10. No wiring or electrical work shall be done except by GES Canada. It is the exhibitor’s responsibility to ensure they have adequate electrical supply for their booth. One 600-watt duplex outlet will be supplied at no cost IF requested at time of registration. Additional electrical is available at the Exhibitor’s cost from GES Canada (use the link on the Event Registration page). NOTE: Extension cords MUST NOT be plugged into power bars (or vice versa).
    IMPORTANT NOTICE: Power Usage Compliance!! Show management will conduct an onsite check to ensure that the use of power outlets complies with fire safety regulations. If your power requirements exceed the capacity of a standard one-600 watt duplex outlet, please use the GES ORDER FORM link on the main event registration page to place an order prior to March 31, 2025 to receive a discounted rate. Prices increase significantly for day-of orders.
    11. IMPORTANT NOTICE: The following items are prohibited within the Venue: candles, helium balloons, straw bales, and pressurized cylinders.
    12. IMPORTANT NOTICE: No propane, gas-powered, electric vehicles, or forklifts are permitted within the facility UNLESS special permission has been provided by Show Management in consultation with the Fire & Safety Inspector.
    13. Nothing is to be pinned or stapled to drapes. ‘S’ hooks are available at no cost from GES Canada during set up.
    14. Exhibitors providing food, beverage, and/or personal services must notify Show Management and complete Alberta Health Services’ Vendor Application Form and return to cheryl@airdriechamber.ab.ca no later than March 14, 2025.
    15. Exhibitors and their company representatives must always wear their exhibitor badges while on the Show floor. These badges are issued for exhibitor identification and must not be loaned or given to other persons.
    16. Exhibitor personnel are always expected to behave in a professional manner. Interference with, or disruption of another exhibitor’s personnel or activities is prohibited.
    17. Under no circumstances should you enter any other exhibitor’s display area uninvited.
    18. Exhibitors are requested to arrive at the Show 15-30 minutes prior to Show opening. Entrance for exhibitor’s will be at the accessible/stroller entrance at the bottom of the ramp from the main show entry.
    19. All exhibits must be open on time and remain staffed during show hours by at least one person.
    20. All exhibits must remain intact and packing up is not permitted until the close of show Sunday, April 13, 2025 at 4:00PM.
    21. Exhibitors are responsible for keeping displays and the venue clean and orderly. Trash must be placed in bags and be left in aisle for pick up at close of show each day.
    22. Security will be provided during show hours. Neither Show Management nor the venue is responsible for theft or damage of property.
    23. If you are processing money or require access for any business transactions at the show, bring a mobile internet stick or alternatively speak to your internet provider about setting up a “Wi-Fi Hot Spot”. There is no cash machine on site.
    24. Prizes, draws, and contests are permitted, in accordance with AGLC – Alberta Gaming, Liquor, and Cannabis. Compliance with these guidelines and all associated activities are solely the Exhibitor’s responsibility.
    25. Please notify all booth personnel (staff and volunteers) that we will have a money tunnel on the entertainment stage. Show attendees that are randomly selected, will be given a chance to enter the money tunnel for a chance to win “Show Money”. The “Show Money” will be spent at the exhibitor booths during the show. We are asking that you accept this “Show Money” as payment for items at your booth. When/if you receive this “Show Money” as payment, you will then take it to the Chamber exhibitor information centre to be reimbursed for cash between 4PM – 5PM on Sunday, April 13, 2025.
    26. All Exhibitors are required to have $2,000,000 minimum in liability insurance.
    Exhibitors must secure a certificate of insurance providing proof of insurance .You will require the following information on the Certificate of Insurance : (1) Certificate Holder: Airdrie Regional Chamber of Commerce (2) The Chamber’s address: #102, 150 Edwards Way NW Airdrie, AB T4B 4B9 (3) Certificate is issued regarding: Airdrie Home & Lifestyle Show, April 12 & 13, 2025 held at Genesis Place 800 East Lake Blvd NE Airdrie, AB T4A 2K9 (4) 2 million minimum in liability insurance.     27. The Exhibitor hereby agrees that neither management, the venue nor any of their officers, agents, employees or other representatives, shall be held accountable or liable for, any and all claims, demands, suits, liability, damages, loss, harm, injury, costs, attorney fees and expense of whatever kind which might result to the person or any property of the Exhibitor or any of its officers, agents, employees or other representatives, resulting from theft, fire, water, accident or any other cause.
    28. Management reserves the right to alter or change the space assigned to an Exhibitor, to alter or remove exhibits or any part thereof, including printed materials, product, signs, lights or sound and to expel Exhibitors or their personnel if, in Management’s opinion, their conduct or presentation unreasonably interferes with the exhibits of other Exhibitors, Management’s ability to maintain an appropriate and/or safe environment in the Venue, or if the Exhibitor, their employees or other representatives have failed to meet any term or condition set forth herein or in the Exhibitor’s Manual. Such an Exhibitor shall not be entitled to a refund.
    29. Chamber Membership must be active and paid in full at the time of the Show to maintain member pricing.
    30. Booth Assembly
    Tents must not fully occupy or cover the entire booth area. For exhibitors with multiple adjacent booths, back draping must not obstruct the view of neighboring booths. Contact Cheryl at cheryl@airdriechamber.ab.ca by March 14, 2025 for approval.
    31. In the event an Exhibitor has failed to occupy the space contracted for by Friday, April 11, 2025 at 6:30 pm, Management shall have the right to utilize such space in any manner they choose. This will in no way release the contracted Exhibitor nor shall a refund be in order.
    32. Management retains the full power to rule on all situations which may arise that are not explicitly outlined in the terms and conditions of Exhibitor Contract and Application Form.
    33. To promote the show, exhibitors are aware that photography and filming is ongoing throughout the course of the Show.
    34. Failure of the Exhibitor to follow these requirements may result in the eviction of the Exhibitor without refund, at Management’s sole discretion. Additionally, Management may prohibit the Exhibitor from attending future Shows.
